Not only are they our starting point for planning service projects, they often provide onsite logistics coordination. We encourage you to reach out to a CVB/DMO at the start of planning to benefit from their resources and connections.

Incorporating service projects into your conference can be highly rewarding, but it comes with some challenges to navigate. One of the biggest is the abilities of local nonprofits to manage a group of volunteers. Many nonprofits need volunteer help but don’t always have the logistical support to manage short-term groups effectively. The best way to address this is to start conversations early. Clearly communicate your goals, group size, and timing to help find the right fit. This advance planning gives nonprofits enough time to prepare and maximize the impact of your group’s involvement.

Another challenge is balancing the service project with a busy conference schedule. We want these experiences to be impactful without overwhelming attendees or competing with other important sessions. One effective way to manage this is by offering shorter, flexible options—like “pop-in” opportunities for assembling care kits, rather than a full half-day commitment. This approach allows attendees to make a difference without missing other sessions, creating a balanced experience that’s both meaningful and manageable.
